Administrative duties Receive, review/ audit and enter Insertion orders (orders for ad placements) in timely manner Maintain databases of all advertisers and sales Create invoices for advertising sales after completion of issue Invoicing print distribution (tearsheets & mailing portion) Email digital invoices Payment applications for checks Process CC transactions working with Corporate Cashiering Commission check payment application Send W-9s to clients Map order processing (combination of data entry and coordination with Cartography) Monitor comp lists for print magazines Reporting:
Update Sales Pacing reports (split between print, digital and sponsored content sales) for all 9 markets Ad Close Sales by Sales Rep reports (given to each rep running in issue closing day before Ad Close - internal and external reps) AR Reports (Sent to reps on 15th & for EOM AR Summary) Materials report (trafficking ads) for Explorer Budget:
Update monthly charges Forecast expenses Review annual budget needs for Sales Budget for Dues, Boards, Bureaus and Promo items EOM Pubs & Maps invoice reports, Cash Receipt Journals & AR -> Finance EOM Commissions (internal & external reps) Analyst/Additional support Review contract templates for Sales Advertising Review database system - recommend upgrades, new systems etc; must work with Marketing, accounting, and multiple teams to gauge usage of the system and compatibility Budget:
Lead the annual budget planning sessions with recommendation for expenditures Gather all contracts for internal audit Work with legal to establish process and procedures for contract requirements, ongoing audit and negotiations with sales and advertisers on terms Foster relationships with advertisers and sales reps Traffic orders for print and digital with the consideration of efficiencies, overall strategic goals eNews trafficking support:
create ad calendar monitoring sales and I/Os per monthly issue create layout sheet per issue assist as backup for ad coordination (receipt of materials, sending proofs) Create annual media kits for print and digital Publications Work with Sales on print publications Crossword puzzle Plan conference materials (sales sheets, auction items, promo videos, ads, etc.
) Promo item orders and inventory Decide on DISCOVER segmentation for specific markets Provide statistics reports for Sales territories, reps etc Maintain all records for audit compliance Qualifications 4-yr.
College Degree or equivalent combination of education and work experience required.
3 years progressive experience in business operations, business administration, or finance.
Budget/finance administration and project management experience preferred.
Professional verbal and written communication skills required.
Proficiency in Microsoft Office software products, including Outlook, Word, Excel and Access required.
Additional computer software skills such MS Project and Publisher desired.
Professional organizational and time management skills required, as well as the ability to multitask and meet project deadlines as set by management.
Proven ability to produce recommendations and proposals and delegate and oversee projects and assignments to other employees as directed.
The starting pay range for this position is $64,480 - $79,300 annually.
Additionally, you will be eligible to participate in our incentive program based upon the achievement of organization, team and personal performance.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
