Legal Secretary

Legal SecretaryThis position provides legal administrative and secretarial support for multiple bad faith and insurance attorneys within the Office of the General Counsel.
Position requires high level of accuracy, confidentiality, and multi-tasking abilities.
Responsibilities:
Manage attorney calendars including scheduling meetings through Teams and Outlook.
Resolve calendar conflicts when necessary.
Prepare, in compliance with court rules, legal documents relating to legal matters.
Prepare and deliver contract memos to VPs and other personnel on behalf of Office of the General Counsel (OGC).
Work with Underwriting to obtain certified policies, underwriting files, and contracts.
Obtain all claim file materials for bad faith litigation matters, including but not limited to all documentation, claim file notes, recorded statements, request additional documents from various platforms, and file storage.
Manage attorney electronic and hard files, open new physical files as requested, create and save new case files in our internal systems.
Make necessary corrections, update information, and respond to inquiries.
Facilitate ordering of supplies for attorneys.
Work with Claims Ops to resolve claims related issues.
Liaison with outside counsel regarding contingent matters, billing inquiries, case materials, set-up new vendors and cases in via IT platforms, advise on rate increase submissions and approval process for counsel, process all invoices released through billing platforms.
File correspondence and legal documents in compliance with law office standards, set up LA Court Connect appearances.
Facilitate and process travel and expense reimbursements.
Open necessary service request or facilities requests for assigned attorneys.
Log attorney assignments, cases and update all tracking logs.
Mail out settlement checks, underwriting files, polices and other correspondence via FedEx and First-Class Mail.
Request access to internal and external platforms for new firms.
Qualifications:
High School diploma, GED, or equivalent certificate required.
Post-secondary business program preferred.
Minimum of three to five years related legal secretarial and/or legal experience required.
Experience using accepted legal support and office organization practices.
Proficient in Microsoft Word and Outlook.
Advanced ability to compose, prepare, proofread, and type correspondence required.
Moderate general knowledge of legal terminology and court procedures.
Strong behavior competencies related to results orientation, customer service, continuous improvement, teamwork and collaboration, and value of diversity highly desirable.
Notary Public or willingness to become a Notary Public desirable.
The starting pay range for this position is:
$26.
61 - $35.
